Privacy Policy
Effective Date: October 30, 2026
All Aboard Financial ("we," "us," "our") protects the personal and financial information you trust us with. This Privacy Policy explains what we collect, how we use and protect it, how long we keep it, and the choices you have. It applies to our website, www.allaboardfinancial.net, and to all tax and financial services we provide.
1. Information We Collect
- Information you give us: name, business name, address, phone, email, Social Security or Employer Identification Numbers, dates of birth, income and expense records, bank statements, prior tax returns, IRS and state notices, payroll records, and any other documents you provide for your engagement.
- Information from others, with your authorization: information from the IRS, state tax agencies, your bank, or your bookkeeper when you authorize us to obtain it.
- Website information: IP address, browser type, pages visited, and similar data collected through cookies and analytics tools. Online forms collect only what you choose to enter.
2. How We Use Your Information
We use your information only to:
- Prepare, file, and support your tax returns and related filings
- Provide the bookkeeping, advisory, and other services you engage us for
- Communicate with you about your account, deadlines, and notices
- Represent or assist you with tax agencies, when authorized
- Process payments and maintain business records
- Meet our legal, regulatory, and professional obligations
3. Tax Return Information and Your Consent
Under Internal Revenue Code §7216, we will not use or disclose your tax return information for any purpose other than preparing your return unless you give us signed, written consent.
Any consent request will tell you exactly what will be shared, with whom, and why. You may decline or revoke consent at any time, and declining will not affect the services we provide.
4. How We Share Information
We do not sell, rent, or trade your personal information. We share it only:
- With the IRS and state or local tax agencies, to file returns and resolve matters on your behalf
- With trusted service providers who help us operate (such as tax software, secure client portals, cloud storage, and payment processors), under contracts that require them to protect it
- When required by law, subpoena, or court order
- With your written consent
5. How We Protect Your Information
We follow the Gramm-Leach-Bliley Act and the FTC Safeguards Rule and maintain a written information security plan.
Our safeguards include encrypted portals and storage, multi-factor authentication, restricted staff access, secure physical storage for paper documents, and regular security reviews.
Please send documents only through our secure client portal or in person, not by regular email.
If a breach exposes your personal information, we will notify you and the appropriate authorities as required by federal law and Florida law (Fla. Stat. §501.171).
6. Document Retention and Destruction
- Original documents: We store all original documents you provide within our secure portal.
- Copies we keep: We keep copies of your filed returns, supporting workpapers, engagement letters, and correspondence for [3] years after the filing date. Federal law requires preparers to keep return copies for at least 3 years.
- Secure destruction: At the end of the retention period, we securely shred paper records and permanently delete electronic records. We do not notify clients before routine destruction.
- Your own records: Our retention does not replace your own. Keep your returns and supporting documents for at least as long as the IRS recommends for your situation, generally 3 to 7 years.
7. Cookies and Analytics
Our website may use cookies and analytics tools to understand how visitors use the site. You can block or delete cookies in your browser settings; some site features may not work without them.
8. Your Choices and Rights
You may request a copy of the personal information we hold about you, ask us to correct it, or opt out of non-essential emails at any time using the unsubscribe link.
Some records cannot be deleted before the end of their retention period because the law requires us to keep them.
9. Children's Privacy
Our website and services are not directed to children under 13, and we do not knowingly collect their information online. A minor's information is collected only from a parent or guardian, when needed to prepare a return.
10. Changes to This Policy
We may update this policy from time to time. The updated version will be posted here with a new effective date.
